What we collect

• Information you give us: your name, work contact details, organisation, messages you send us and information needed to set up or support your account.
• Information from your use of our website or service: pages and features used, browser and device information, IP address, cookies or similar identifiers, and technical and security logs. We also use analytics tools as described below.
• Information submitted by business customers: documents and related material uploaded to Verbatio, which may contain personal information about the customer's clients, staff or other people. The customer decides what to submit and who can access its workspace.

We may receive your contact details from your organisation when it invites you to use Verbatio. If you book a demo through Koalendar, the information you enter there is also handled by Koalendar under its privacy policy.

How we use information

We use information to respond to enquiries, arrange demos, provide and support Verbatio, administer accounts, secure and improve the service, communicate with customers, and meet legal obligations. We may send business updates or marketing where permitted; you can opt out of marketing emails.

Verbatio processes documents submitted by a business customer to provide the service to that customer. The customer agreement governs that processing in more detail. If your information appears in a customer's documents and you want to exercise a privacy right, contact that customer in the first instance. We will assist the customer where required.

Analytics and cookies

Our website and service use cookies or similar browser storage for functions such as sign-in and analytics. We currently use Mixpanel and Vercel Analytics to understand how the site and service are used. Mixpanel is configured to capture interaction events and session replays. Session replays may show how someone interacts with a page.

You can clear or block some browser storage through your browser settings, although doing so may affect the service.

Who we share information with

We share information with providers that help us run the website and service, such as hosting, account authentication, analytics, demo scheduling and email delivery providers. We may also share it with the business customer that provides your account, its authorised administrators, professional advisers, or authorities when required by law. If our business changes ownership, information may transfer as part of that transaction subject to applicable law.

We currently use Koalendar for demo bookings, Mixpanel and Vercel Analytics for analytics, and providers for application hosting, accounts and service email.

Overseas handling

Some providers or their personnel may handle personal information outside Australia. We take reasonable steps to protect information handled by our providers.

Security and retention

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, change or disclosure. We keep it for as long as needed to provide the service, manage our business or meet legal obligations, then delete or de-identify it where required. The customer agreement contains more detail about retention of customer content.

Your rights and complaints

You can contact us to request access to or correction of personal information we hold about you, or to raise a privacy concern. We may need to confirm your identity before responding. Other rights, such as deletion or objection to certain uses, may apply depending on where you live and the law that applies to us.

Email info@verbatio.ai with your request or complaint. We will investigate and respond within the time required by applicable law. If you are dissatisfied with our response, you may be able to complain to the Office of the Australian Information Commissioner or another regulator that applies in your location.

Changes to this policy

We may update this policy when our practices change. The current version and its date will be posted here.
